This Isn't a Lecture. It's a Show.

A look inside the room that sold out twice this year — and the energy waiting in Seattle.

TC & Marketing Mastery — 2026 Tour

Patients aren't saying no.
They're saying not right now.

And every "not right now" is a start you've already paid for — sitting in a follow-up gap, a fee fumble, or a handoff that nobody rehearsed.

The real problem

Your New Patient Process Is Full of Friction

Most practices think growth is a lead problem. It almost never is. By the time a parent reaches you, they've already compared you to two or three other offices. The leak isn't at the top of the funnel — it's at every handoff in between.

A Millennial mom in a consult looking confused while reviewing a fee sheet.
  • 1The Lead LeakLeads come in. Nobody answers fast. Nobody follows up. The family books with the practice that picked up first.
  • 2The Consult LeakThe family shows up. The exam happens. The fee gets quoted. "Let me think about it." No structure to convert.
  • 3The Marketing LeakYou spend on ads, content, and SEO — but the brand the family meets online doesn't match the room.
  • 4The Team LeakDoctor, TC, manager, front desk — four different scripts. The family feels the friction and pulls back.
The number that should keep you up

The Modern Parent Now Visits

consults before committing to treatment. They expect frictionless scheduling, transparent pricing, and a TC who feels like a guide — not a closer. Most practices are still running the same consult model they used a decade ago.

The shift

Old Ortho Conversion Model vs. The Modern Engine

Two completely different practices. Pick the one your TC is allowed to run on Monday.

The Old Way

Built for 2014
  • First call as a transaction
  • Doctor as the closer
  • Fee presented at the end
  • Marketing and ops in silos
  • "Think about it" exits as normal
  • Follow-up by accident
  • Conversion measured monthly

The New Patient Engine

Built for the modern parent
  • First touch as a relationship
  • TC as the trusted guide
  • Value built before the number
  • One brand. One voice. One journey.
  • Same-day start as the default
  • Follow-up by protocol
  • Conversion measured per handoff
VS
Modernize Our New Patient Experience
The framework

The Straight New Patient Engine™

Six connected systems that turn a curious lead into a same-day start — and a same-day start into a long-term, referral-generating patient.

1
Phase one

Pre-Sell Trust

Build authority before the exam. Brand, reviews, response time, and the pre-call that lowers anxiety and raises intent.

2
Phase two

Choreograph the Room

Every handoff — front desk to TC to doctor — designed and rehearsed. No awkward gaps, no contradicting scripts.

3
Phase three

Present Value + Payment

Fee and financing conversations that feel calm, transparent, and consultative. No pressure. No fumbling on numbers.

4
Phase four

Capture the Start

The same-day start playbook — scheduling, records, and consent — so momentum is never lost to "we'll call you back."

5
Phase five

Build the Membership Economy

OBS, retention memberships, and recurring revenue models that turn one start into multi-year, multi-family lifetime value.

6
Phase six

Align Marketing With Conversion

Stop running marketing in a silo. Build a content + ads engine that feeds — and matches — the consult experience.

This is your role

Strategist.
Communicator.
Closer. Leader.
CEO of the New Patient Engine.

You don't just follow a process. You build it. You own it. You scale it. The seat you sit in is the difference between a practice that hopes for starts and a practice that engineers them — every single week.

  • SeeYou see the leaks.Where others guess, you diagnose — call response, follow-up gaps, fee fumbles, handoffs nobody rehearsed.
  • RunYou run the system. From first click to scheduled start. The process doesn't run you — you run the process.
  • OwnYou own the outcome.Show rate. Same-day starts. Collected revenue. Your numbers. Your impact. Your legacy.
  • LeadYou lead the experience.Empathy, expertise, and execution at every step of the patient journey.
  • GrowYou drive the growth.More starts. More production. More freedom for the doctor — and more leverage for you.
Step Into the Seat — Seattle See the Process
Not what they'll "learn about." What they'll actually do.

What Your Team Will Do Differently on Monday

Run a pre-call that books

A 5-minute call that lowers anxiety, surfaces concerns, and pre-frames the consult.

Walk the exam room with intent

Choreograph each step so the family feels guided, not processed.

Hand off the doctor with authority

A 90-second handoff that elevates the doctor and shortens the exam.

Quote fees without flinching

Language and pacing that makes the price feel like the obvious next step.

Close same-day starts

A simple sequence that converts "ready" families before they leave the building.

Recover the "thinkers"

A 7-day follow-up cadence that wins back families who walked out undecided.

Run marketing as a system

Match ads, content, and reviews to what the TC actually says in the room.

Measure conversion per handoff

See exactly where starts leak — and fix the one that costs the most.

Bring the Whole New Patient Team

Everyone on your team sells. Everyone on your team is marketing your brand. Whether they know it or not, your front desk, your TC, your doctor, and your marketing coordinator are either building trust or losing it with every touchpoint. Your practice is your brand — and the brand lives in every interaction.

Treatment Coordinators

The role this workshop was built around — and the role that drives the biggest revenue swing.

They'll learn: pre-calls, exam choreography, fee presentation, same-day close.

Doctors + Owners

You set the standard for the consult experience and the financial model behind it.

They'll learn: doctor handoff, exam pacing, the membership economy.

Office + Practice Managers

You run the dashboard — and you're the one who has to make this stick.

They'll learn: conversion KPIs per handoff, team scripts, accountability.

Marketing Coordinators

You need marketing that matches the room — not a brand the TC has to apologize for.

They'll learn: content, ad, and reputation systems aligned with conversion.

Front Desk + Admin

You answer the first call. You set the tone before anyone else gets a turn.

They'll learn: speed-to-lead, pre-call setup, warm handoffs to the TC.
Register My Team

One Day. Two Powerhouse Trainings. One Aligned Growth System.

The morning trains TCs and the new patient team. The afternoon trains marketing and ownership. By 6 PM, your whole practice is running the same playbook.

Module 1 — The Modern New Patient Journey
Where today's parents actually decide. What they expect before, during, and after the consult — and how to design every touchpoint around it.
Module 2 — Speed-to-Lead & the Front Desk
The first 5 minutes of contact decide the next $7,000 of revenue. Phone scripts, missed-call recovery, and the handoff to the TC.
Module 3 — The TC Pre-Call
A short, structured call before the consult that lowers anxiety, raises intent, and pre-frames the fee conversation.
Module 4 — Exam Room Choreography
Each step, each handoff, each pause — designed so the family feels guided, not processed.
Module 5 — The Doctor Handoff
90 seconds that elevate the doctor's authority and shorten the exam. Scripts for the TC and the doctor.
Module 6 — Fee Presentation & Same-Day Start
Pacing, language, and financing options that make the price feel obvious — and the same-day start the default outcome.
Module 7 — Follow-Up That Wins Back "Thinkers"
A 7-day cadence (call, text, email) that recovers families who walked out undecided — without feeling like sales.
Module 8 — The Membership Economy (OBS + Retention)
Recurring revenue models that turn one start into multi-year, multi-family lifetime value. The financial model behind the modern practice.
Module 9 — Marketing Aligned With Conversion
Content, ads, reviews, and brand systems that feed — and match — the consult experience. Run by the marketing coordinator.

Questions Before You Register?

Who is this workshop designed for?
Orthodontic practices and pediatric dental teams who want to convert more of the new patients they already have. Treatment Coordinators, doctors, owners, office and practice managers, marketing coordinators, and front desk staff all benefit.
How many people from my team should attend?
3 to 5 is the sweet spot — doctor, TC, marketing, manager, and front desk. The workshop is built around installing one playbook across roles, so the more of your team in the room, the more sticks.
What does the day look like?
8 AM check-in and breakfast. Morning sessions on the TC and new patient team (Modules 1–6). Lunch provided. Afternoon sessions on marketing, OBS, and ownership-level systems (Modules 7–9). Wrap at 6 PM. Stay overnight — you won't want to miss the end.
What is Saturday morning coffee?
A small-group, off-the-record conversation with Tracy, Alisha, and the coaching team — Saturday Aug 29, 8–10 AM at the W Hotel Seattle. Free with workshop registration. RSVP required (capacity is limited).
Are CE credits provided?
Yes — up to 5 CE credits for eligible attendees. Credit documentation is provided post-workshop.
Is travel or lodging included?
No, but we've reserved a discounted room block at the W Hotel Seattle for attendees. Book the room block here. Registration covers the workshop, workbook, scripts, materials, breakfast, and lunch. We strongly recommend booking the overnight to make Saturday morning coffee.
Can I get a refund if I can't make it?
Tickets are non-refundable. Registrations are transferable to another team member or colleague at no charge.
What's the difference between this and your private coaching?
This is the one-day group install. Private coaching is the ongoing, multi-month implementation inside your practice. Most teams attend the workshop first, then engage privately to operationalize what they learn.
Will the workshop be recorded?
No. This is in-person only. Part of why it works is full focus and team alignment in the room — recordings dilute both.
Will this tour run again in 2027?
Possibly — but the 2026 tour ends in Seattle. If 2027 happens, dates, format, and pricing will change. Seattle is your last chance at the current format and price.
Who do I contact with more questions?
Email hello@straightconsultingpartners.com or use the registration form below — we'll respond within one business day.
